When we talk about payroll, most people think of full-time employees and regular salaries, but that’s not the only type of employment relationship entering many small businesses today.
As the gig economy grows, more and more businesses are hiring independent contractors (or freelancers). This new type of relationship has tax complications and reporting requirements.
We created this guide as part of our Payroll Education Center to help business owners navigate the concerns that come with working with independent contractors.
In this guide, we ask for the W-9 IRS Form, Taxpayer Identification Number and Certification. We cover all the bases, explaining:
Il Institute Form W 9: Fill Out & Sign Online
Basically, Form W-9 is a document that businesses collect from every independent contractor they work with when they start working together.
Unlike many other tax and payroll forms, it is not submitted to the Internal Revenue Service (IRS) or any other taxing authority. Instead, businesses keep their contractors’ completed W-9 forms and use the information provided to compile the annual Form 1099-MISC.
Businesses that work with contractors need this information for Form 1099-MISC. In addition to filing a Form W-9 when they start work, contractors must also submit an updated Form W-9 when the information it contains changes (if they move, for example, or their business reclassifies imprisoned).
Forms W-9 and W-4 are similar in that they are both a key part of entering into a new employment relationship with someone. The difference comes down to the type of work relationship in question.
W 9 Form: Detailed Guide On How To Fill Out And Sign
As we mentioned above, Form W-9 is strictly used to obtain information from independent contractors. Form W-4, on the other hand, is filled out by the employee. W-4 forms contain more information than W-9s, including employee:
One of the key differences between working with employees versus independent contractors is that contractors are responsible for paying their own employment taxes, and the employer pays the employee’s portion back to their employer. Stop the employee’s share by paying. That said, the IRS still needs a way to track payments made to contractors, and to make sure they report all earnings.
On an annual basis, any contractor paid more than $600 (2019 limit) must submit a Form 1099-MISC, the form also required to be filed with the IRS and applicable government agencies.
This is where contractor W-9 forms come in—these forms enable businesses to request and store information needed for annual 1099-MISC forms.
